Everyone who works on your feedback, docs, changelog or inbox needs to be on your project's team. This article covers inviting them, what each role can do, and changing or removing people later.

Open Settings → Team & roles. Everyone on the team can see who's on it and leave; owners and admins also invite people and manage roles.

Roles

Role

Can

Owner

Everything, including managing other owners and changing Autopilot's settings.

Admin

Everything a member can, plus Settings, Customize, boards, billing and the team. Admins can't manage owners or make anyone an owner.

Member

Work on feedback and the roadmap, answer the inbox, write the changelog and docs, review Autopilot's updates, and see Users and Reporting. In Settings, members only see Team & roles.

A project always has at least one owner.

Invite someone

  1. Under Invite people, enter their email address.

  2. Pick a role: Owner, Admin or Member. Admins can give Admin or Member. The role's summary shows next to the button.

  3. Choose Send invite.

The Invite people card after sending an invite: the invite link with Copy link, and the pending invite with Revoke

Tuti emails them the invite, and the card shows its link with Copy link, in case you'd rather send it yourself. Copy it then: the link isn't shown again. If the email couldn't be sent, the card says so ("Couldn't email … send them this link").

  • Only the address you invited can accept. The link works once and expires in 7 days.

  • Waiting invites are listed under the form, with their role, who sent them and when they expire. Revoke cancels one. Only owners can revoke an invite to be an owner.

  • A project can send up to 20 invites a day.

You can also invite people from the last step of a new project's setup. See Create and set up your project.

Team size on the Free plan

On the Free plan, a project has up to 3 team members, and invites that haven't been accepted yet count too. The card says how many you have now, with a link to upgrade. Pro and Business have no limit. See Plans and what each includes.

Accept an invite

The invite email, "… invited you to … on Tuti", has an Accept invite button. It opens a Join page for the project:

  • New to Tuti? Choose Create account. Your address is filled in. Then choose Accept invite.

  • Have an account? Choose Sign in, then Accept invite.

  • Signed in with another address? Choose Use another account and sign in with the invited one.

Accepting from the email also verifies your address.

If you're already signed in to Tuti with the invited address, and it's verified, the invite also shows at the top of every page of the app. Choose Accept, or Decline to turn it down.

A Join Fieldnote notice: Ana Torres invited you to join Fieldnote as a member, with Accept and Decline

A link that's no longer valid says why: it has expired, was already used or was revoked. Ask for a new invite. If the team is full on the Free plan when you accept, ask the project's owners or admins to upgrade it.

Change a role or remove someone

Owners and admins open the ••• menu next to a teammate:

  • Change role, then pick the new role.

  • Remove, then confirm. They lose access to the project right away. You can invite them again later.

The ••• menu next to Hana Sato, with Change role open on Owner, Admin and Member

Owners can change or remove anyone. Admins can change or remove admins and members, but not owners. You can't change your own role.

Leave a project

Choose Leave project at the bottom of Team & roles, then Leave. You'll need a new invite to come back. If you're the only owner, make someone else an owner first.
